How to keep day-to-day bills, notes, invitations,
and paperwork in order:
Create a filing system, with a file for each month of
the year
JANUARY - DECEMBER. This is where invitations, notices,
and anything
with an expiry date should be placed. At the end of each month,
move the file representing the previous month to the back of
the filing container.
Separate from but adjacent to
your monthly files, create three colour-coded files as follows:
- CALL
(follow-up calls for meetings, events)
- PAY (bills to
be paid immediately)
- FILE (after calls are made, information
gathered, and bills paid, put the paperwork in this file
before transferring
to your permanent filing cabinet)
You’ll be surprised how easy
these action oriented files are to create and maintain. Be
sure to keep
them easily accessible – for
example in the kitchen, so that you are certain to refer
to them every time the mail comes in or you remember a
task that
needs
to be done.
Tip: The Action files are always moving, never stagnant,
and should be referred to on a weekly, if not daily, basis.
